Position Objectives

Theodore Payne Foundation's bookstore is a critical link between the mission of the Foundation and our members and visitors. The Front Office and Bookstore Assistant provides a positive and well-informed face to the public and represent the Theodore Payne Foundation in a professional and ethical manner. The Front Office and Bookstore Coordinator has primary responsibility for maintaining membership and donor databases, assisting customers, supervising volunteers, maintaining the bookstore, fielding phone calls, registering class attendees and other duties assigned. This position is part time (Wednesday-Saturday, 10:30am to 5pm) and reports to the Director of Operations. 

Duties & Responsibilities:

  • Maintains and updates membership and donor databases; coordinate renewal mailings and drafts and preps thank you letters for donors.
  • Works with customers in the bookstore, via email and phone to provide accurate information and answer questions and needs; makes cash, check, and credit card sales; accurately closes out, balances till, makes sales reports, and prepares receipts for bookkeeper at the end of day
  • Increases bookstore and membership sales through product knowledge, initiation of customer contact and rapport, and ensuring that customers are satisfied and occurrence of special requests
  • Fulfills and processes payments for online orders for non-seed items
  • Restocks, assists in merchandising and display, dusts and straightens up items on shelves
  • Registers participants in-person, online, and over the phone for classes and events
  • Acts as Foundation's receptionist, answers the telephone, takes messages, refers callers to the appropriate staff person
  • Works with staff to coordinate and prepare for events
  • General office work, record keeping and other duties as assigned by the Director of Operations
  • Assists Executive Director as needed

Knowledge, Skills, & Abilities

  • Solid computer skills, including Microsoft Office, Microsoft Access required, Lightspeed POS knowledge a plus; ability to learn new programs is essential
  • Strong mathematical skills, accuracy paramount
  • Ability to lift 20 pounds, climb a ladder, and stand for long periods in conditions within variable temperatures (frequently hotter or colder than 72 degrees)
  • Must be energetic, personable, patient, and have a good sense of humor
  • Must be able to work overtime during busy seasons including the occasional Sunday
  • Flexible attitude and detail-oriented
  • High School GED required
  • Retail and/or office experience desirable
  • Legible handwriting essential

Pay Rate: $12.75/hour

The Theodore Payne Foundation is a non-profit nursery and educational organization whose mission is to promote the understanding and use of California native plants. The Foundation has approximately 3,300 members and an outreach to nearly 13,000 via its e-newsletter; it has a paid staff of 16 and a corps of 250 volunteers.
