About this job

Reporting to the Chief of Staff, the Managing Director of Administration leads AJSOCAL’s administrative and operations functions. This individual will oversee overall strategies to support the organization and staff, as well as ensure operations run smoothly. This person will oversee the human resources, facilities and IT departments.

Roles & responsibilities

50% Oversight of Human Resources Strategies and Processes

Strategic Partner to Chief of Staff on driving organizational transformation and culture.

Strengthen operational infrastructure to improve efficiency and systematize operating models across the organization.

Oversee HR department, establishing strategies and goals for the department, significantly participate in HR activities, including improving the application of HR policies, and partnering with the General Counsel on collective bargaining requirements, compensation, and talent management strategies.

Partner with HR staff to support professional development and training opportunities for staff growth and satisfaction.

Promote a culture of collaboration, feedback, communication, and support to cultivate a positive work environment that celebrates success in our work and mission.

40% Oversight of Facilities and IT Strategies and Processes

Oversee Facilities department to ensure property is well managed and maintained and supplies and equipment needs are being met.

Oversee IT department to modernize organization’s use of technology, establish policies/procedures across organization around documentation management and privacy, promote systems integration between platforms and systems (grants, CRM, benefits, etc.)

Oversee development of organization-wide policies and procedures in partnership with IT, HR, Facilities, GC, Finance, Development, etc. to mitigate risks for the organization and to ensure compliance with legal requirements.

10% Other Duties as Assigned

Qualifications

Bachelor’s degree preferred

Minimum eight (8) years' experience in leadership/management position in operations and administration.

Minimum ten (10) years' experience and expertise in the human resources field required (SHRM-CP and/or aPHR preferred).

Experience and knowledge of general operations also required, with specific knowledge of facilities and IT functions including Safety/OSHA, data security/governance,risk management and disaster recovery.

Excellent interpersonal skills, professional communication, as well as outstanding written and oral communications

Detail oriented and highly organized with the ability to manage several projects at once.

Ability to take initiative and prioritize tasks and willingness to handle all levels of administration, including routine duties.
