Are you someone with event production and/or volunteer program experience who is organized, outgoing, motivated and has a desire to learn? The ideal candidate has a passion for CicLAvia’s mission and is a self-starter, comfortable working in a fast-paced and dynamic environment. They are comfortable wearing many different hats and are extremely detail-oriented with strong communications skills, both verbal and written.

The Volunteer Coordinator & Outreach Assistant works as part of the Production Team to implement our volunteer program and assist with community outreach and event production. This role is a great opportunity for candidates with backgrounds/interest in urban planning, community organizing, volunteerism, and event production. CicLAvia is committed to supporting our staff in their personal and professional growth.

Roles & responsibilities

The Volunteer Coordinator & Outreach Assistant reports to the Chief Program Officer and the Production Manager, and is a key member of our team who assists in several aspects of CicLAvia events (including some evening and weekends when necessary), including:

-Overseeing and implementing our event day volunteer program, including research and outreach to potential volunteer groups, updating volunteer documents, and all other logistics related to event day volunteers

-Maintaining records of volunteer engagement, including tracking hours and demographic data

-Managing inventory, organization, and packing of volunteer materials

-Assisting in researching and developing Airtable databases of community stakeholders

-Supporting the Production Manager with community outreach efforts, including presenting at neighborhood council meetings, neighborhood canvassing, and tabling at community events

-Following up with stakeholders via phone calls and email, and maintaining records of correspondence

-Creating flyers for route stakeholders with alternate parking and detour information

-Running errands, including drop-offs and pick-ups of event materials

-Assisting the Event Producer and Production Manager with event packing and organization of event materials

-Providing administrative support to the Chief Program Officer and Production Manager

-Providing day-of-event support, including overseeing event set up, breakdown, volunteers, and other logistics

-Performing office-related duties, including answering phones, returning calls, and mailing packages

Qualifications

Commitment to the mission and work of CicLAvia

Strong desire to work as part of a fun, creative and entrepreneurial team in a fast-paced and dynamic environment

1-2 years of experience working in event production and/or volunteer coordination at a non-profit organization

1-2 years of experience working in an office environment

Must be comfortable driving a 9’ Cargo Van

Expertise in Microsoft Office (Word, Excel, PowerPoint) and proficiency with Mac computers

Knowledge of Airtable and Canva is a plus!

Works well with a team

Strong written and verbal communication

High energy, self-managing, and self-starter personality

Adept at managing multiple tasks with strong planning, prioritization and organizational skills

Spanish language fluency desirable

Valid California driver’s license and access to a vehicle for running errands, helping transport event supplies etc.

Available to work on some weekends and evenings
