About this job

The Community Coordinator will be focused on front office reception, responding to community requests, proactively engaging with civic leaders, nonprofits, and businesses, and managing office duties to support the organization’s objectives. This position requires an extremely organized individual with excellent project management skills, who thrives in a fast-paced environment. We are seeking a versatile person who is polite, congenial, and good at solving problems, while being responsive to requests from the public who are served in-person, by phone, and by email. Strong logistics skills are required, as this person helps support the events and program team. Because this position will be working for a chamber of commerce, among other Stratiscope clients, a friendly and efficient workstyle with the ability to manage multiple projects at the same time is important. Excellent phone manners, strong writing skills, superior computer skills, and the ability to follow-through are essential.

Roles & responsibilities

Specific responsibilities include but are not limited to: ● Provides front desk reception duties

○ Answers phone inquiries and walk-ins, and manages the general email inbox

● Schedules and provides administrative support, including

○ Assembling and distributing agendas

○ Coordinating logistics with venues and attendees

○ Taking notes at meetings

● Provides general office administration and light bookkeeping, including:

○ Managing relationships with members and some outside vendors

○ Creating invoices, processing and applying payments, and preparing deposits

○ Preparing checks and tracking payments

○ Following-up on renewal invoices and payments

○ Managing mailings, including receiving and sorting incoming mail and

deliveries, and managing outgoing mail

○ Creating activity reports

○ Ordering names tags and other supplies as needed

○ Managing filing system and records

● Provide

○ Calling members to help them renew memberships

○ Calling potential attendees and inviting them to events

○ Assisting and providing support to staff for event planning and organization,

including securing locations

○ Confirming or reminding participants to attend events

○ Maintaining member roster (online)

○ Take reservations for events, send confirmations, and log RSVPs

○ Overseeing online event registrations and ticket invoicing

○ Supporting onsite event logistics as required, specifically seating arrangements

and participant registrations

○ Performs other duties as assigned

Qualifications

The ideal candidate will:

● Have 1-3 years of experience in an administrative or customer service role

● Be proficient in software and collaboration tools including Microsoft Office (Word, Excel,

Outlook, PowerPoint) and Google Workspace applications

● Ability to meet deadlines and accurately prioritize multiple projects

● Possess strong interpersonal and communications skills (written and verbal)

● Possess excellent organizational and time management skills

● Can occasionally work some evening, weekend, and early morning events

● Be available for a minimum of 32 hours per week

● Have familiarity with the communities in Southern California

● Be eager to learn, optimistic, personable, with a positive attitude

● Be considerate, attentive, respectful, responsive, and cooperative customer service skills

Compensation: $60,000-$70,000/year
